Looking for an all-star Project Assistant to join our team in Livermore, CA

About the job:

The Project Assistant will be responsible for complete administrative support for the project team, maintaining accurate and thorough company records and project documentation. Other duties include, but are not limited to:

  • Supports and works with project team as required
  • Produces professional written correspondence on own accord and as directed
  • Coordinates bonding and insurance requirements
  • Creates, maintains and organizes current electronic and hard copy project files
  • Provides Superintendents with updated subcontractor and project information
  • Assists Accounting Department project related accounting
  • Prepares and records Notice of Completion and project closeout documents
  • Coordinates meetings
  • Pick up permits and other errands as required
  • Processes subcontractor and owner commitment documents
  • Assists with the bidding process as needed
  • Types and reviews/edits scopes of work provided by the Project Engineer and/or Project Manager
  • Distributes submittal samples
  • Organize, copy and file RFI’s as required
  • General knowledge of plans and specifications
  • Attends weekly construction meeting
  • Liaison between field and office Team Members
  • Mentors new hires and interns

About you:

  • One to three years administrative work experience in the construction industry preferred
  • Intermediate to Advanced level in Microsoft Office Applications
  • Beginning to Intermediate level in Microsoft Project
  • Intermediate to Advanced level in Procore
  • Beginning level in Timberline
  • Beginning to Intermediate level understanding of digital images (how to open, view, customize and print them)
  • Intermediate level in AIA Construction Documents
  • Strong organizational skills, flexibility, and the ability to prioritize work assignments
  • Extreme attention to detail
  • Excellent written and oral communication skills
