Job Description

The Accounting Clerk is responsible for assisting the accounting department primarily with clerical duties such as filing, photo-copying and archiving

Responsibilities: Other duties include, but are not limited to:

  • Files Unconditional Lien Releases and Preliens weekly
  • Creates and maintains vendor files
  • Photocopies and files weekly invoices and timecards as needed for accounts receivable billings
  • Stamps and files invoices to be entered weekly
  • Stuffs and mails vendor checks as needed
  • Codes and enters overhead invoices
  • Codes and prepares excel spreadsheets for overhead invoices as needed
  • Faxes lien release requests and other accounting faxes as needed
  • Monitors and distributes all incoming faxes
  • Copies Owner billings as needed
  • Pulls and copies invoices from job cost reports for billing as needed
  • Files Timberline reports as needed
  • Files closed job reports monthly
  • Assists with dead storage as needed
  • Retrieves archived files from dead storage as needed
  • Provides backup support for accounting department as needed.
  • Files current and expired subcontractor insurance certificates as needed
  • Inputs W-9 and California contractor license information and files forms weekly
  • Updates vendor addresses in Timberline as needed
  • Requests copies of invoices from vendors as required
  • Files bank statements monthly
  • Boxes up and moves paid files to dead storage at year end
  • Creates new AP paid vendor folders and binders at year end
  • Provides back up support for Receptionist

Requirements: Our ideal candidate would possess the following qualifications:

  • At least one year office experience is required
  • Beginning level in Microsoft Office Applications (Word, Excel and Outlook)
  • Beginning level in Timberline
  • Strong attention to detail
  • Strong knowledge of the alphabet
  • Type at least 40 wpm
  • Ten-key by touch
